Who We Are

Synergy Media ("we," "us," or "our") is an AI consulting and digital marketing company based in San Diego, California. This privacy policy explains what information we collect about you, how we use it, who we share it with, and the rights you have over your data when you visit our website at synergymediaai.com or engage with our services.

Information We Collect

Information you give us directly. When you fill out our contact form, free assessment form, or newsletter signup, we collect the fields you provide: first name, last name, email address, phone number (optional), company name, website, years in business, and any free-text message or challenge description. You choose what to share.

Information collected automatically. When you visit our website, our hosting provider and analytics tools automatically collect standard log information including your IP address, browser type and version, operating system, the pages you visit, the time and date of your visit, referring URL, and approximate geographic location derived from your IP.

Cookies and similar technologies. We use cookies and similar tracking technologies for analytics and to improve your experience. See "Cookies and Tracking" below.

We do not knowingly collect sensitive personal information (such as government ID numbers, financial account numbers, health information, or precise geolocation) through this website.

How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and schedule the discovery call or assessment you requested;
  • Provide and improve our services, and communicate with you about engagements you have retained us for;
  • Send you periodic marketing communications if you have opted in (you can unsubscribe at any time);
  • Analyze website traffic and performance so we can improve our content and user experience;
  • Protect our website, our clients, and ourselves from fraud, abuse, and security threats;
  • Comply with legal obligations, respond to subpoenas and lawful government requests, and enforce our Terms of Service.

We do not sell or rent your personal information, and we do not share your personal information with third parties for their own direct marketing purposes.

Cookies and Tracking

Our website uses the following cookies and tracking technologies:

  • Strictly necessary cookies required to operate basic site functionality;
  • Analytics cookies set by Google Analytics (via Google Tag Manager) which help us understand how visitors interact with the site. These cookies collect aggregated, anonymized usage data;
  • Advertising / conversion cookies set by Meta Pixel, Google Ads, or LinkedIn Insight Tag if you arrive via one of our paid campaigns. These help us measure whether our advertising is effective.

You can control cookie preferences through your browser settings, and you can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on. If a cookie consent banner is displayed on your first visit, you can withdraw or update your consent at any time by clearing cookies and revisiting the site, or by contacting us.

Third-Party Processors

We use the following third-party service providers to operate our website and services. Each has its own privacy policy governing how it handles data on our behalf:

  • Cloudflare — website hosting and delivery (privacy policy);
  • Formspree — contact form and free assessment form submissions are delivered to us through Formspree, which temporarily stores form data and relays it to us via email (privacy policy);
  • Google Analytics and Google Tag Manager — website analytics (privacy policy);
  • Google Ads, Meta, and LinkedIn — if we run paid advertising campaigns, these platforms may set conversion-tracking cookies when you arrive from one of our ads.

We only share the personal information these processors need to perform their functions, and they are contractually obligated to maintain its confidentiality and use it only on our behalf.

Data Retention

We retain personal information for only as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required or permitted by law. Specifically:

  • Contact form and free assessment submissions: retained for up to 24 months from submission, or longer if you become a client;
  • Active client records: retained for the duration of the engagement plus 7 years, to comply with tax, accounting, and professional obligations;
  • Analytics data: Google Analytics retains user-level and event-level data for up to 14 months by default;
  • Email marketing lists: we retain subscriber information until you unsubscribe, after which we retain unsubscribe records for compliance purposes.
